Terms and Conditions

These Terms and Conditions (T&Cs) govern your use of The Hybrid Fitness League (the League) website, app, competitions, leagues, leaderboards and related services and entry into the league (the Events). By creating an account, registering for a league or competition, or using our services, you agree to these terms.

Hybrid Fitness League Ltd (CRN: 17169032), with registered office at Flash Green Farm Jenny Lane, Wheelton, Chorley, England, PR6 8JE (“HFL” or “we”) reserve the right at our discretion to amend these T&Cs (and the format, date and structure of any Event), including if there is a change in the applicable laws, legislation, regulations, ruling or omission of any relevant government, court, competent national authority or governing body or amendments due to changes in the event structure. If we do implement such changes, we will notify you of any such changes in advance.

Any person who is in breach of these T&Cs may be removed from an Event without the right to refund, compensation or re-admission. Please note, any specific terms stated at the point of ticket purchase shall take precedence over these T&Cs.

Eligibility and your account

You must be at least 18 years old to create an account and enter into the League. By registering via the Hybrid Fitness League Competition Platform, you confirm the information you provide is accurate and complete, and that you are responsible for keeping your account details secure.

You are responsible for all activity under your account. You must not impersonate another person, provide false or misleading information, share access to your account, or use the platform in a way that harms the league, its events or other users. We may suspend or remove accounts that breach these terms.

Registration and entries

HFL lets athletes register for leagues, competitions and categories subject to eligibility, availability and capacity limits. We may refuse, cancel or adjust registrations where eligibility requirements are not met, required information is missing, capacity is reached, or safety, fairness or integrity requires a change.

You must provide accurate athlete profile information, including emergency contact details where required, and keep it up to date. If required details are missing, we may prevent registration or participation until they are completed.

HFL reserves the right to disqualify and/or exclude you from participating in and/or attending an Event at any time and without any right to a refund if:

You understand and agree that you are expected to exhibit appropriate behaviour at all times while at the Event, to obey the Event Rules and abide by any decision of any Event official relative to your ability to safely participate in or attend the Event. This includes, generally, respect for other people, equipment, facilities, or property.

We will notify you of your race time and start wave before the Event. You will not be allowed to participate if you miss your race time or start wave.

Doubles and team entries

If you register a doubles or team entry, you confirm you have your partner's permission to provide their name and email and for us to contact them about their entry. Each individual participant must accept this and the waiver before competing.

Payments, refunds and cancellations

League and competition entry require payment, taken securely via Stripe. Prices are shown at the point of registration.

Events have a limited capacity, therefore tickets for popular Events may sell out quickly. Prices may vary depending upon availability, selected start time window, venue requirements and/or regulations, and we reserve the right to change prices at any time. Payment methods vary and the accepted payment methods are as stated on the platform where your ticket is purchased.

You will have 14 days from the date of purchase of your ticket into the League to change your mind and cancel the paid registration (“Entry Fee”). In those circumstances, we will refund you for your Entry Fee. You will lose the right to cancel your Entry Fee paid without charge after this 14 day period has ended.

If you wish to cancel the Entry Fee during the first 14 days, you must contact HFL via support@thehybridfitnessleague.com. We will refund you as soon as possible and within 14 days of you telling HFL that you wish to cancel. We will refund you using the same method you used for payment.

If you are unable to participate due to injury, illness or any other personal circumstance, you are not automatically entitled to a refund. Subject to any applicable Event-specific policy, we may, at our discretion, permit you to transfer your entry to another eligible participant, defer your entry to a future Event or League, or provide a full or partial refund. Any such request must be made before the published deadline and may be subject to an administration fee.

Once we confirm your purchase by email, a binding contract is entered into between us for you to participate in or attend the relevant Event in accordance with, and subject to, these T&Cs (to the exclusion of all other terms and conditions save where expressed to the contrary in these T&Cs).

HFL and the host gym are under no obligation to hold the Event in its entirety or in parts and, may without further liability postpone or cancel the Event in full or in part, or change the time or location of, any or all of the Events for any reason, including due to:

If any Event for which you are registered is cancelled or postponed due to a Force Majeure Event or for any other reason, you shall be entitled to a free rebooking for a future League Event. If you are unable to attend that Event, if we are required to cancel an Event due to a Force Majeure Event, we will then cancel your booking and provide a credit to your account for the proportion of the League that has not been completed.

Each League consists of three Events. If one Event has already taken place before the Force Majeure Event, you will receive a credit equal to two-thirds of the Entry Fee. If two Events have already taken place, you will receive a credit equal to one-third of the Entry Fee. If all three Events have been completed, no credit will be due.

Under no circumstances will we be liable for travel, accommodation or any other expenses that you or anyone else incurs in connection with a cancelled or postponed Event, or any deferral.

We reserve the right to alter the start time of the Event. In the event of a change of start time you will be notified of the revised start time with as much notice as reasonably practicable. No refund in full or in part shall be made for any change in start time for the Event, provided the Event takes place on the specified date of the Event.

We reserve the right to amend the Event format, including changing the course and the distance, at our sole discretion. If the Event format, course, or distance, is changed, you will not be entitled to any refund and there shall be no further liability whatsoever arising from such change of format, course, or distance.

Competitions, scoring and conduct

The Hybrid Fitness League runs a number of Competition types (Strength, Metcon, Endurance) which vary by, format, scoring method, schedule and host gym. We may update dates, times, venues, formats, station structures, category availability, wave assignments and event status. We will try to communicate material changes promptly but do not guarantee that all elements remain unchanged.

Competition scores, rankings and leaderboards are managed through the Hybrid Fitness League competition platform. By participating, you accept that results may be recorded, reviewed, corrected and published, and that judges and authorised admins may enter or amend scores where required. Rankings depend on the league rules and scoring logic in effect at the time.

All users must behave respectfully and honestly. You must not cheat, manipulate or falsify scores, abuse officials or participants, misuse role-based access, or interfere with the platform or events. We may suspend access, remove entries, void results, or take other reasonable action where conduct undermines safety, fairness or league integrity.

Health, fitness and assumption of risk

You understand and agree that there are certain risks inherent in attending any event, including a sporting event, and voluntarily assume all risk of property loss or damage, personal injury, illness and/or death arising in connection with the your attendance at the Event (e.g., by entering the venue and/or attending the Event), including, without limitation, objects or fragments thrown or flying into the spectator area, a venue's stands, concourses and/or concession areas during an Event, special effects at an event, acts or omissions of other spectators and risks related to any resulting disease. You understand and agree that these risks cannot be fully eliminated.

You voluntarily assume all known and potential risk and danger of property loss, illness (including sickness, whether airborne or otherwise, and other risks of exposure to any communicable disease or illness or a bacteria, virus or other pathogen capable of causing a communicable disease or illness), injury and/or death from any cause, resulting from, in connection with, or incidental to the Event, whether occurring prior to, during or after the Event. You agree that HFL or any host gym shall not be responsible or liable for any claim, loss, damage or injury, whether occurring before, during, or after the Event. This limitation of liability shall not apply to liability for death or personal injury caused by negligence of HFL, or to liability arising from fraud or fraudulent misrepresentation.

Nothing in these T&Cs shall be construed as limiting or excluding HFL or the host gym's liability for: (i) death or personal injury resulting from negligence; (ii) fraud or fraudulent misrepresentation or (iii) any other matter for which it would be illegal or unlawful to limit, exclude or attempt to exclude liability. Your statutory rights as a consumer are not affected by these T&Cs.

Participation in fitness competitions and training involves physical risk. You are responsible for deciding whether you are medically and physically fit to participate and should seek medical advice where appropriate. You must not participate if injured, unwell or otherwise not fit to do so. These terms should be read together with our Waiver and any event-specific safety rules.

You understand and agree that you are responsible for taking care of your own belongings during the Event and, to the maximum extent permitted by law, neither HFL or the host gym is responsible for any personal item or property that is lost, damaged or stolen at the Event.

Venues, third parties and intellectual property

Competitions may be hosted at gyms or venues, and we may rely on third-party venues, suppliers, judges, volunteers and technology providers. We are not responsible for service interruptions, venue issues or third-party failures outside our reasonable control.

All branding, content, software, league materials and platform features remain the property of The Hybrid Fitness League or its licensors unless stated otherwise. You may use the platform only for lawful personal or authorised league-related use, and must not copy, exploit, reverse engineer or misuse any part of it except as permitted by law.

Nothing in these T&Cs grants you the right to use or reproduce the HFL name or logo in any manner that implies a partnership, sponsorship, endorsement, or affiliation with HFL.

Privacy

Your use of the competition platform is also governed by our Privacy Policy. By using the platform, you understand that we process account, registration, results and participation data to operate the league, including publishing limited athlete and competition information in schedules, results and leaderboards.

Recordings and marketing

You agree that the Event is a public event, that your appearance and actions inside and outside the venue where the Event occurs are public in nature, and that you have no expectation of privacy with regard to your actions or conduct at the Event.

You hereby grant permission to HFL and any host gym (“Parties”), to film, capture and record your participation in the Event. Such permission includes the right to photograph, film, record and/or otherwise capture your name, image, likeness, voice, written statement, photograph and/or any other biographical information, in any media format.

You acknowledge and agree that any and all photographs, video, film, motion pictures, recordings and content captured during the Event by or on behalf of the Parties shall be their sole property. You acknowledge and agree that such photographs, motion pictures, recordings and content containing your name, image, likeness, voice, written statement, photograph and/or any other biographical information may be edited, exhibited, disseminated, adapted, modified, copied, used and/or exploited by the Parties, in whole or in part, in all media and formats, throughout the world, in perpetuity, for any legitimate commercial or non-commercial purpose, including but not limited to promoting, advertising and marketing HLF and the League, without prior notice, approval or compensation.

If you have concerns regarding your image being used in our materials, please contact support@thehybridfitnessleague.com prior to the day of the Event. We will make reasonable efforts to accommodate your request but cannot guarantee complete exclusion from all group or background imagery.

Suspension and liability

We may suspend, restrict or terminate access where necessary to protect the platform or users, enforce these terms, comply with legal obligations, or maintain fair and safe league operations. You may request account deletion in line with the options in the platform, subject to records we must retain for legal, safety, audit or operational reasons.

To the fullest extent permitted by law, HFL is not liable for indirect or consequential loss, loss caused by event changes, cancellations, delays or waitlisting, loss caused by technical outages or third-party systems, or injury or damage arising from participation — except where liability cannot legally be excluded. Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

Governing law

If any term or provision of these T&Cs is or becomes invalid, illegal or unenforceable, it shall be deemed deleted, but that shall not affect the validity and enforceability of the rest of the T&Cs.

These T&Cs and any dispute or claim arising out of or in connection with it or its subject matter or formation (including non-contractual disputes or claims) shall be governed by and construed in accordance with the law of England and Wales, unless another mandatory local law applies.
